Cancellation Policy, Terms & Waiver of Liability for The Expat Life Lodge

Overview
Thank you for staying with us at The Lodge by Expat Life Ghana, operated by EXPAT LIFE GHANA LLC. Accommodation services are provided to you subject to these terms and conditions. These terms and conditions bind you, all members of your travel party, and all minor dependents in your legal care.

References in these terms and conditions to The Lodge by Expat Life Ghana include parent company Expat Life Ghana LLC, and its employees, agents, contractors, and suppliers. Expat Life Ghana or The Lodge by Expat Life Ghana (âEXPAT LIFE LODGEâ or âThe Lodgeâ) is operated by Expat Life Ghana LLC. By booking or staying on our site, you (âyouâ or âClientâ or “Guest”) agree to these terms and conditions (âTermsâ). If you make a booking on behalf of other participants, you guarantee that you have the authority to accept and do accept these Terms on behalf of other participants in your party.
READ CAREFULLY. THIS AFFECTS YOUR LEGAL RIGHTS. You (the party agreeing to these terms by reserving, purchasing, and/or participating in a stay) are aware that staying at The Lodge by Expat Life Ghana is done at your own risk and hereby waive any and all claims you may have now and in the future, release from all liability, and agree not to sue Expat Life Ghana LLC, its officers, agents, representatives, employees, or tour guides for any personal injury, death, property damage, or loss sustained by you as a result of your participation in the travel, transportation, and/or services provided.
Cancellation Policy
Your booking includes a $75.00 USD (seventy-five US dollars) non-refundable administrative fee. This fee covers credit card processing and booking administration fees.
We begin preparing for your stay as soon as your booking is confirmed. This includes staffing, pre-stocking supplies, and arranging for necessary services to ensure a comfortable and enjoyable experience. Cancellations impact these preparations, which is why we have the following policy:
- Cancellation within 48 hours of the first night of stay: No Refund.
- Cancellation within 7 days of the first night of stay: 25% of the total booking is refunded.
- Cancellation between 8 and 30 days of the first night of stay: 50% of the total booking is refunded.
- Cancellation between 31 and 45 days of the first night of stay: 75% of the total booking is refunded.
- Cancellation more than 45 days before the first night of stay: 100% of the booking is refunded, less the $75.00 USD administrative fee.
Important Note Regarding Minimum Refund: In cases where the calculated refund amount (based on the percentages above) is less than the $75.00 USD administrative fee, the refund will be $0.00 USD. The $75.00 USD administrative fee represents the minimum charge for any cancellation.
Travel Delays & Reservation Changes
We understand things happen when traveling internationally. Wherever possible, we are willing to move the dates of your stay to accommodate your travel needs, based on room availability. When the requested room is unavailable, the Guest may change rooms, which will be at the current published rates. Any additional payments/refunds should be made at check-in.
Where Guests require a reschedule more than 61 days from the original check-in date, the reservation will be cancelled in compliance with the above-listed cancellation policy and the Guest can make a new reservation.
Terms & Conditions of Stay
In order to ensure a pleasant stay for all current and future guests, stays at The Lodge fall under these terms and conditions:
Smoking Policy
For the comfort of others, we ask guests not to smoke inside the compound, which includes room patio areas, balconies, terraces, and the veranda. If a guest chooses to smoke within their room or anywhere throughout The Lodge, they will be charged for all cleaning bills, including dry-cleaning and shampooing. Please smoke outside the Lodge walls and properly dispose of any refuse. Smoking is not permitted inside of any Expat Life Tour vehicles or subcontractor vehicles.
Tipping Policy
If guests would like to show their appreciation, they may do so by contributing to a staff gratuity fund that is distributed every month to all members of the staff. If youâd like to charge that gratuity to a credit card, please let us know.
Special Food Requirements
The Lodge makes every effort to accommodate the needs of the guest. At the time of booking, please provide full details of any special food requirements that may require special attention. In situations where individuals have multiple or intensive food sensitivities, The Lodge retains the right to decline All-Inclusive services, specifically in situations where we do not feel we can adequately meet a guest’s dietary needs. The Lodge cannot be held responsible for any adverse food reactions if the guest fails to provide proper notice of those restrictions.
Medical Assistance
There is a local hospital situated less than 8 minutes from The Lodge for guests that need immediate medical care. In case of an emergency, The Lodge does not provide medical advice or services, but we can facilitate transportation and assist with checking in.
For those that require more intensive care or standard âAmericanâ medical services, there is an Advanced Medical Center 35 minutes away that does take some US-based medical insurance. It maintains daytime hours and is not available for after-hours care. There is a pharmacy within 5 minutes of The Lodge that can supply most over-the-counter ordinary medication. For more specific needs, there is a well-stocked pharmacy 10 minutes away.
Damage to Property
The Lodge by Expat Life Ghana and/or its parent company (âweâ or âThe Lodgeâ) reserve the right to charge individual guests or lead guests (âyouâ or âthe guestâ) for the cost of rectifying damage which has been caused by the deliberate, negligent, or reckless acts of guests to the hotelâs property or structure.
If such damage is discovered during the stay, it will be drawn to the guestâs attention, but if discovered after guests have departed, we reserve the right to make a charge to the guestâs credit/debit card, or send an invoice for the costs. We will make every effort to rectify any damage internally prior to contracting specialists to make repairs to keep any costs to a minimum.
We reserve the right to take legal action for any damages that are malicious or reckless or amount to criminal damage. In that case, the guest would be responsible for all legal fees pursuant to that end.
Release From Liability
You hereby irrevocably & unconditionally release & hold harmless from liability The Lodge by Expat Life Ghana, the parent company, its owners, officers, agents, managing partners, contractors, employees, insurers, directors, and other guests (all groups hereinafter known as Releasees) from any & all liabilities, claims, actions, damages, costs, losses, or expenses of any nature whatsoever whether in law or equity, known or unknown, occurring during, caused by, relating to, or arising in any way from your participation at The Lodge, including, without limitation, any and all claims, actions, and liabilities for death, injury, loss or property damage or other loss, accident, delay, inconvenience, or irregularity, which may be associated by reason of (1) any wrongful, negligent, willful, or unauthorized acts or omissions of any employees or subcontractors, its suppliers, or agents working with or on behalf of The Lodge; (2) any defect in or failure of any vehicle, equipment, or instrument owned, operated, or otherwise used by The Lodge; or (3) any wrongful, willful, or negligent act or omission on the part of any other party.
You understand that attending a facility in a foreign country may involve certain exposure to weather or wildlife and may subject you to local laws. With these, and all related activities, there is a certain element of risk. By booking your stay, you accept this waiver and hereby acknowledge that your participation is at your own risk, and that you assume all responsibilities for any and all aspects of participation by both yourself and any children who might accompany you. This waiver applies to any and all activities participated in at The Lodge.
You understand that this Release from Liability irrevocably & unconditionally releases and holds harmless all Releasees from any financial or other liability for any injury, bodily harm, sickness, illness, or loss of life that you as a Guest or your family member or friend may suffer, and from any economic harm or loss of property occurring during, caused by, relating to, or arising in any way out of staying at The Lodge. You further agree to defend and indemnify the Releasees, and to hold the Releasees harmless, from any and all liabilities, claims, actions, damages, expenses (including, without limitation, attorneyâs fees) and losses of any kind of nature whatsoever in any way arising out of or resulting from staying at The Lodge.
You are responsible for reading this Release from Liability & understand all of the terms and conditions. By booking and staying at The Lodge, you have executed it voluntarily, with full knowledge of its significance, and intend to be legally bound by it.
